QuickQuote Group Pty Ltd (ABN 99 698 266 483), trading as QuickQuote, is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs). This Privacy Policy explains in plain terms what personal information we collect, why we collect it, how we use and disclose it, and your rights in relation to it. If you are accessing the Platform from outside Australia, additional provisions described in Section 12 may apply to you.

By accessing or using the QuickQuote platform, you acknowledge that you have read and understood this Privacy Policy and agree to its terms.

1. About QuickQuote and this policy

QuickQuote is a purely digital marketplace that facilitates introductions between customers seeking trade or professional services ('Customers') and subscribed service providers ('Providers'). QuickQuote does not itself provide, perform, supervise, guarantee, or participate in any services arranged through the Platform. All pricing, quoting, negotiations, and service delivery occur directly and exclusively between Customers and Providers.

This Privacy Policy applies to all personal information collected by QuickQuote Group Pty Ltd in connection with the QuickQuote platform, website (www.quick-quote.com.au), mobile application, and any associated digital services (collectively, the 'Platform').

This Policy should be read alongside our Terms of Service, which govern your use of the Platform more broadly.

2. Personal information we collect

2.1 Information you provide directly

When you create an account, use Platform features, or correspond with us, we may collect:

  • Full name and contact details, including email address and phone number.
  • Location data, being postcode, suburb, or city, entered directly by you and used to enable geographic job matching. We do not use device GPS or precise location services.
  • Job descriptions, service requirements, and project details submitted by Customers.
  • Photographs and images uploaded in connection with job postings or Provider profiles.
  • Business name, trade category, and professional information provided by Providers.
  • Payment information: Provider subscription payments are processed securely by Stripe (web) or Apple In App Purchase (iOS app) on our behalf. We do not store full card numbers or payment credentials on our systems (see Section 5).
  • Facilitated payment information: where a Customer chooses to pay a Provider through the Platform's optional payment facilitation feature, we hold a record of that transaction (amount, date, parties, and status) for receipt and support purposes, but the payment itself, and any bank account or identity information a Provider gives Stripe to receive it, is collected and held directly by Stripe, not QuickQuote (see Section 5).
  • Camera and photo library access: the mobile app requests permission to access your camera and photo library only when you choose to upload images. Photos are uploaded only when you select them; we do not access your photo library in the background.
  • Push notifications: with your permission, we send push notifications to your device for job leads, quote updates, and account activity. You can disable notifications at any time through your device settings.
  • Support correspondence and communications with our team.

2.2 Information collected automatically

When you interact with the Platform, we or our third party service providers may automatically collect:

  • Device and network identifiers, including IP address, browser type, operating system, and device type.
  • Usage data, including pages visited, features accessed, session duration, and click and navigation paths.
  • Referring URLs and entry and exit behaviour.
  • Cookie and similar tracking data (see Section 10 for our full Cookies Policy).
  • Crash and diagnostic data: when the app crashes or experiences errors, technical data about the event (device model, operating system version, error logs) is collected through crash reporting tools. This data may be linked to your account identifier to help us identify and fix issues.

2.3 Future features: in platform messaging

QuickQuote intends to introduce in platform messaging and chat functionality in a future release. Once active, message content and metadata exchanged between Customers and Providers through the Platform will constitute personal information collected and held by us, governed by this Policy. We will notify registered users of any material changes before activation.

2.4 Sensitive information

We do not intentionally request or collect sensitive information as defined in the Privacy Act 1988 (Cth), including health information, biometric data, racial or ethnic origin, criminal record, or sexual orientation. If you voluntarily include sensitive information in your job description or profile content, we will handle it in accordance with this Policy and the APPs. Where required, we will seek your explicit consent before collecting sensitive information.

2.5 Children

The Platform is directed at adults aged 18 years and over. We do not knowingly collect personal information from persons under 18. If you believe we may have inadvertently received personal information from a minor, please contact our Privacy Officer immediately (see Section 14) and we will promptly delete that information.

3. How we use your personal information

We collect and use personal information only for purposes that are reasonably necessary for our business functions, as permitted or required by law. Primary purposes include:

  • Account registration, verification, identity management, and account maintenance.
  • Distributing Customer job postings to relevant subscribed Providers based on location and service category.
  • Enabling Providers to express interest in job postings and facilitating a direct connection between the parties.
  • Processing Provider subscription payments, issuing invoices, and managing billing through Stripe and Apple In App Purchase.
  • Facilitating an optional, direct payment from a Customer to a Provider through Stripe where a Customer chooses to use that feature, and keeping a record of that transaction for receipt, support, and dispute-assistance purposes.
  • Delivering transactional and service related communications, including email, SMS, and push notifications.
  • Providing customer support and responding to inquiries, complaints, and feedback.
  • Detecting, investigating, and preventing fraud, abuse, and other prohibited conduct on the Platform.
  • Enforcing our Terms of Service and protecting the legal rights and interests of QuickQuote Group Pty Ltd.
  • Complying with applicable legal and regulatory obligations, including tax reporting requirements.
  • Improving the Platform through anonymised or aggregated analytics and usage data.
  • Sending marketing or promotional communications about QuickQuote where you have provided consent or where otherwise permitted by law.

We will not use personal information for a purpose unrelated to the primary purpose of collection unless you have provided express consent or an exception under the Privacy Act 1988 (Cth) applies.

4. Disclosure of personal information

4.1 Third party service providers

We engage trusted third party service providers to assist us in operating the Platform. These providers act on our instructions and are contractually required to handle personal information securely and only for the specific purposes we authorise. Current providers include:

  • Apple Inc.: App Store subscription billing, receipt validation, and push notification delivery for iOS users.
  • Stripe: payment gateway and recurring subscription billing for Providers, and payment processor for the Platform's optional Customer to Provider payment facilitation feature. Where a Provider uses this feature, Stripe collects and holds the identity, business, and bank account information needed to pay them directly; QuickQuote does not receive or store that information.
  • Twilio: SMS notification and communications infrastructure.
  • Cloud hosting, infrastructure, and data storage providers.
  • Analytics, crash reporting, and performance monitoring tools, with data used in anonymised or aggregated form wherever practicable.

We will update this list as our third party integrations change. We do not authorise third party service providers to use your personal information for their own purposes.

4.2 Disclosure between Platform users

In order to deliver the Platform's core introduction and matching service, certain personal information is necessarily disclosed between users:

  • Job postings submitted by Customers, including location, service category, description, and photographs, are disclosed to relevant subscribed Providers within the specified geographic radius.
  • Once a Provider expresses interest in a job posting and a match is established, contact details sufficient to enable direct communication are shared between the relevant Customer and Provider.
  • Where a Customer pays a Provider using the Platform's optional payment facilitation feature, each party can see the record of that specific transaction (amount, date, and status) as a receipt, but neither party can see the other's broader payment, banking, or account information held by Stripe.

By using the Platform and submitting job postings or Provider profiles, you consent to this disclosure to the extent required to deliver the matching service.

4.3 Legal and regulatory disclosure

We may disclose personal information where required or authorised by law, including:

  • In response to a court order, subpoena, warrant, or lawful request from a government authority or regulator.
  • To prevent, investigate, or respond to suspected fraud, criminal activity, or illegal conduct.
  • To protect the rights, property, or safety of QuickQuote Group Pty Ltd, our users, or the general public.
  • In connection with actual or threatened legal proceedings, or to obtain legal advice.

4.4 Business transfers

If QuickQuote Group Pty Ltd undergoes a merger, acquisition, restructure, or sale of all or substantially all of its assets, personal information we hold may be disclosed to and assumed by a successor entity. We will take reasonable steps to ensure that any such transfer is subject to appropriate confidentiality protections.

4.5 What we do not do

We do not sell, rent, license, or trade your personal information to any third party for their own marketing, advertising, or commercial purposes.

4.6 No tracking across apps or websites

We do not track you across apps or websites owned by other companies. We do not share your data with data brokers or third party advertisers for tracking purposes. The Apple App Tracking Transparency prompt does not apply to QuickQuote because we do not engage in tracking as defined by Apple.

5. Cross border disclosure of personal information

Some of our third party service providers, including Apple, Stripe, and Twilio, may store or process data on servers located outside of Australia. Where we disclose personal information to overseas recipients, we take reasonable steps, including by way of contractual protections, to ensure that those recipients do not breach the Australian Privacy Principles in relation to that information, consistent with APP 8.

By using the Platform, you consent to your personal information being transferred to, stored, or processed in countries that may not have data protection laws equivalent to those in Australia. We contractually require overseas providers to maintain appropriate security and confidentiality standards.

As QuickQuote expands into new jurisdictions, this Section will be updated to reflect applicable regional data protection requirements, including the General Data Protection Regulation for European Economic Area users (see Section 12.1) and the California Consumer Privacy Act for California residents (see Section 12.2).

6. Data quality and accuracy

We take reasonable steps to ensure that the personal information we hold is accurate, up to date, complete, and relevant for the purposes for which it is used, as required by APP 10. You can assist us in maintaining accurate records by updating your Account information promptly when your circumstances change.

7. Data retention

We retain personal information for as long as reasonably necessary to fulfil the purposes for which it was collected and to comply with our legal, regulatory, accounting, and contractual obligations. Our general retention guidelines are:

  • Active account data: retained for the duration of your account and for 7 years thereafter, or until you request deletion, subject to legal retention obligations.
  • Financial and transaction records, including records of Provider subscription billing and of any payment facilitated between a Customer and Provider through the Platform: retained for a minimum of 7 years in accordance with Australian tax and corporate record keeping requirements.
  • Job posting data: retained for 2 years after job closure or account termination.
  • Customer support and correspondence records: retained for 3 years from the date of last interaction.
  • Analytics and server log data: retained in identifiable form for up to 2 years, after which data may be retained indefinitely in anonymised or aggregated form.

When personal information is no longer required for any purpose, we will take reasonable steps to destroy or permanently de identify it.

8. Security of personal information

We take the security of your personal information seriously and implement reasonable physical, technical, and organisational safeguards to protect it against unauthorised access, disclosure, modification, loss, or destruction. These measures include:

  • Encrypted data transmission using industry standard SSL/TLS protocols.
  • Secure cloud infrastructure with restricted access controls and role based permissions.
  • Payment card data handled exclusively by Stripe and Apple, both of which maintain PCI DSS compliance and equivalent security certifications.
  • Regular review and testing of our data security practices and systems.
  • Employee access to personal information restricted on a need to know basis.

No method of electronic storage or data transmission is entirely secure. We cannot guarantee absolute security. In the event of a data breach that is likely to result in serious harm to individuals, we will comply with our mandatory notification obligations under the Notifiable Data Breaches (NDB) scheme established under the Privacy Act 1988 (Cth), including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required. Where notification is required, we will notify affected users by email to their registered address within the timeframes required by the NDB scheme.

9. Your rights in relation to your personal information

9.1 Right of access (APP 12)

You have the right to request access to the personal information we hold about you. To make an access request, please contact our Privacy Officer using the details in Section 14. We will acknowledge your request promptly and respond substantively within 30 days. We may charge a reasonable administrative fee to cover the cost of providing access where permitted by law.

9.2 Right of correction (APP 13)

If you believe personal information we hold about you is inaccurate, out of date, incomplete, irrelevant, or misleading, you may request correction. We will take reasonable steps to correct the information and respond to your request within 30 days. If we do not agree to make a correction, we will explain our reasons and inform you of the steps you may take if you are not satisfied with our response.

9.3 Right to deletion

You may request deletion of your personal information. We will comply with deletion requests to the extent permitted by law. Note that certain information may need to be retained to comply with legal obligations, prevent fraud, resolve disputes, or enforce our agreements, and will not be deleted in those circumstances.

9.4 Account deletion

You can delete your QuickQuote account at any time directly within the mobile app through Profile, Account Settings, Delete Account, or by emailing our Privacy Officer (see Section 14). Upon account deletion, your personal information will be removed in accordance with the retention schedule in Section 7, except where retention is required by law.

9.5 Opting out of marketing

You may withdraw consent to receive marketing communications from us at any time by clicking the 'unsubscribe' link in any marketing email, adjusting your Account preferences, or contacting us directly. Withdrawal of marketing consent will not affect transactional, account related, or service communications.

9.6 How to exercise your rights

To make any access, correction, or deletion request, or to raise a privacy concern, please contact our Privacy Officer:

We will verify your identity before processing any request. In most cases, we can verify identity using information already provided to us in connection with your Account.

9.7 Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact our Privacy Officer in the first instance. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC): website www.oaic.gov.au, phone 1300 363 992, post GPO Box 5218, Sydney NSW 2001.

10. Cookies and tracking technologies

The Platform uses cookies and similar tracking technologies, including web beacons and local storage, to deliver core functionality, understand how users interact with the Platform, and improve user experience.

10.1 Types of cookies we use

  • Essential and functional cookies: required for the Platform to operate correctly, for example session management and login authentication. These cannot be disabled without materially impairing functionality.
  • Analytics cookies: used to understand user behaviour patterns, page performance, and feature usage. Where possible, data is aggregated and anonymised before use.
  • Preference cookies: store user selected settings and preferences to personalise the experience across sessions.

10.2 Cookie management

Most web browsers allow you to refuse new cookies, delete existing cookies, and configure cookie preferences. If you disable essential cookies, certain features of the Platform may not function as intended. Our Platform does not currently deploy advertising or third party retargeting cookies. If we introduce such cookies in the future, we will update this Policy and obtain consent where required. See our separate Cookie Policy for full detail.

11. Third party links

The Platform may contain links to external websites and services operated by third parties. This Privacy Policy does not apply to those third party websites, and we are not responsible for the privacy practices, content, or security of any third party site. We encourage you to review the privacy policies of any third party services you visit.

12. International users

The Platform is currently operated and primarily directed at users in Australia. If you access the Platform from outside Australia, your personal information may be transferred to and processed in Australia. By using the Platform, you consent to this transfer.

12.1 European Economic Area, GDPR (future expansion)

When QuickQuote is made available to users in the European Economic Area, we will implement supplementary compliance measures under the General Data Protection Regulation (EU) 2016/679, including the publication of a GDPR specific Privacy Notice, establishment of valid legal bases for all processing activities, data subject rights procedures including the right to erasure and data portability, and standard contractual clauses or equivalent transfer mechanisms for cross border data flows.

12.2 California, CCPA (future expansion)

When QuickQuote is made available to California residents, we will implement supplementary disclosures and procedures required under the California Consumer Privacy Act of 2018 and the California Privacy Rights Act, including disclosure of categories of personal information collected and sold or shared, the right to opt out of the sale or sharing of personal information (noting we do not currently sell personal information), and the right to non discrimination for exercising CCPA rights.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our business practices, technology, legal requirements, or other factors. We will publish the updated Policy on the Platform with a revised effective date. Where changes are material, we will take additional steps to notify you, for example by sending an email to your registered address or displaying a prominent notice on the Platform.

Your continued use of the Platform after the effective date of an updated Policy constitutes your acceptance of the changes. If you do not agree to the updated Policy, you must cease using the Platform.
